Scope

This policy covers everything Hill Dogs Consulting operates directly: www.hilldogs.com, apps.hilldogs.net, our apps on hilldogs.net subdomains, and our support portal at support.hilldogs.net. What we collect depends on which one you are using, and each is described separately below.

The short version

This policy covers the Hill Dogs Consulting website, the apps we host, and our support portal. What we collect depends on which one you are using. On the website, we receive what you send us through the contact form, and we use Google Analytics to understand traffic. In the apps, you may need an account, which requires a working email address. In the support portal, we receive whatever you include in a support request. We don’t sell your data, we don’t run ad networks, and we don’t try to figure out who you are beyond what’s needed to answer you or keep your account working.

What we collect

On the website (www.hilldogs.com)

Contact form submissions. If you use the contact form, we receive your name, company (optional), email address, subject, and message. This information is used solely to respond to your inquiry. We don’t require your physical address or any other identifying information.

Analytics data. The website uses Google Analytics, which collects anonymized data about how visitors use it (pages viewed, time on site, general geographic region, browser type). Google Analytics may set cookies in your browser. We use this data to understand how the site is performing, not to identify individuals.

In the apps (apps.hilldogs.net and hilldogs.net subdomains)

Email address. May be required to create an account, depending on the app. We send a verification message to confirm it works. Your email is used for account authentication and, if needed, account-related notices. We don’t require your real name, physical address, or any other identifying information.

Phone number. Optional, and only relevant if you choose to use SMS-based multi-factor authentication (MFA). If you provide one, we send a one-time verification text to confirm it works for that purpose. You are not required to provide a phone number. Authenticator app based MFA is available as an alternative.

In the support portal (support.hilldogs.net)

Support requests. Our support portal is provided using Atlassian Jira Service Management, and is hosted by Atlassian rather than by us. If you raise a request, we receive your name, email address, and whatever you choose to include in the request and its attachments. That information is used to respond to you and to keep a record of the request. Please don’t include sensitive information you don’t want recorded in a support ticket.

All of them

Technical log data. Like most web infrastructure, our hosting environment may automatically log IP addresses, browser types, pages accessed, and timestamps. We don’t actively review these logs or use them to identify individuals.

What we don’t collect

The website has no user accounts, no login, and no registration. In the apps, we don’t require, and have no system designed to capture, real names, physical addresses, payment information, or demographic data. We make no intentional effort to associate contact form submissions, support requests, email addresses, or phone numbers with broader profiles or named individuals.

How we use what we collect

  • To respond to contact form inquiries
  • To understand website traffic and improve the site (via Google Analytics)
  • To verify your account and authenticate you when you log in
  • To send account-related notices if necessary, such as security alerts
  • To deliver MFA codes if you opt into SMS-based MFA
  • To respond to support requests and keep a record of them

We do not use your information for marketing, profiling, or any purpose beyond responding to your inquiry, operating the site, operating your account, and supporting you.

Cookies and tracking

On the website, Google Analytics sets cookies to track session and traffic data. These are analytics-only cookies. No advertising cookies are used. You can opt out of Google Analytics tracking via browser extensions or your browser’s privacy settings.

In the apps, we don’t use third-party analytics or advertising cookies. Any cookies set there are functional, limited to what’s needed to keep your session working.

In the support portal, cookies are set by Atlassian and are subject to their privacy policy.

Third-party services

On the website, contact form submissions are delivered via AWS SES (Simple Email Service). Your submission is transmitted to our email address and is not stored in any third-party database beyond standard email retention. Google Analytics is provided by Google LLC and is subject to Google’s privacy policy.

In the apps, account authentication and MFA may involve third-party services such as email delivery or SMS providers. These services process your email address or phone number only to the extent needed to deliver verification messages.

In the support portal, your request and any attachments are stored and processed by Atlassian on our behalf, and are subject to Atlassian’s privacy policy in addition to this one.

We don’t sell or share your data with third parties for any other purpose.

Data sharing and sale

We do not sell personal information. We do not share your information with third parties except as described above (service delivery) or as required by law.

Colorado privacy law (CPA)

Colorado’s Consumer Privacy Act gives Colorado residents certain rights over their personal data, including the right to access, correct, or delete it. Because we collect minimal information and don’t use it for profiling or sale, most CPA provisions have limited practical application here. If you have a privacy inquiry or wish to request deletion of your data, contact us at the address below.

Data retention

Contact form submissions are retained in email for as long as is operationally relevant. Account data is retained for as long as your account is active. Support requests are retained as a record of the request and our response. If you wish to have your submitted data, your account and associated data, or your support history removed, contact us and we will do so within a reasonable timeframe.

Children

This site is not directed at children under 13. We do not knowingly collect information from them or create accounts for them.

Changes

We may update this policy at any time. Continued use constitutes acceptance of the current version.
